Requisitions, quotations, approvals and invoice checks run through one workflow instead of email and spreadsheets.

Maritime procure-to-pay
One connected workflow from a requisition raised on board to the final supplier payment: approvals, sourcing, deliveries and invoice matching, running on top of the systems you already use.
Finance Automation in 38 seconds
A short introduction to the workflow: requisition on board, sourcing and approval, delivery to the vessel, and invoice matching through to payment.
The film shows an illustrative interface. The results are from the client deployment described below.

From requisition to payment
Officers build requisitions from the vessel’s parts catalogue and the captain or chief engineer validates them. Superintendents can raise requisitions too, including custom items.
Each line is checked against stock on hand, planned maintenance, and price and supplier validity before anything is sourced.
Requests for quotation go to known suppliers. A new supplier is onboarded first, with legal and financial background checks and an approval step.
Quotations are compared, substitute parts are flagged for review and catalogue updates, and line items are batched for the superintendent to check technical fit, price and quantities.
Orders within the financial threshold go straight to purchase order; high-value orders route to the fleet manager. Suppliers confirm the order and dispatch.
Goods go directly to the ship or through your own or an external warehouse, with back-order tracking, vessel shipment planning and onboard receipt confirmation that updates vessel inventory.
Incoming invoices are matched against the purchase order and the confirmed receipt, reconciled by purchasing, approved above a threshold, and paid. The order record is then closed.
One workflow, every role
Capabilities
Requisitions, quotations and approvals move through one tracked workflow instead of inboxes.
Technical review, financial thresholds and approvals are recorded for audit.
Invoices are matched against the order and what was actually received before payment.
Open orders, deliveries, parts and agreed prices in one view, per vessel and supplier, ready for supplier negotiations.
Finance Automation is system-independent. It sits on top of your existing ERP, accounting, purchasing or fleet-management software and connects through available APIs or file exports, so crews and office teams keep the tools they know. Catalogues, roles, approval thresholds and delivery routes are configured to your organisation.
Tell us how your vessels order today, which systems you use and where approvals get stuck. We will scope a walkthrough around your workflow.
A sample of recent requisitions, quotations, purchase orders and invoices, your approval roles and thresholds, and the parts catalogue and supplier list.
An agreed requisition-to-payment workflow per role, approval rules, delivery routes to vessel and warehouse, and invoice matching with an exception queue.
Walk through one real purchase end to end, confirm the connections to your current systems, then test approvals, back orders, corrected invoices and failed postings before rollout.
We confirm the demonstrable workflow, data access, integration work and success measures during scoping. Examples illustrate an approach; they are not verified customer results.
